Cancellation Policy
We understand that event plans can change. This Cancellation Policy explains how cancellations, refunds, credits, and rescheduling requests are handled for Chicago Coffee Carts bookings.
Please review this policy before confirming your event. If you have questions about your booking, contact us as soon as possible so we can help you understand your options.
Event Cancellations
Cancellation timing is based on the number of days before your scheduled event service date.
Cancellations 15 or More Days Before Service
For events canceled 15 or more days before the scheduled service date, refundable payments made toward the event may be refunded.
Custom items, third-party purchases, specialty products, or non-returnable items that have already been ordered may not be refundable.
Cancellations 8–14 Days Before Service
For events canceled 8–14 days before the scheduled service date, 50% of the deposit amount may be refunded.
This helps cover planning time, staffing preparation, product coordination, and administrative work already completed for the event.
Cancellations 1–7 Days Before Service
For events canceled 1–7 days before the scheduled service date, payments are generally non-refundable.
At this stage, our team may have already staffed your event, ordered product, reserved equipment, coordinated logistics, and finalized important event details. When possible, eligible amounts may be credited toward a future event with Chicago Coffee Carts.
Non-Refundable Custom Items
If we have already ordered custom, branded, specialty, or non-returnable items for your event, those items may remain non-refundable even if the event is canceled or rescheduled.
This may include items such as:
Custom branding
Branded cups or sleeves
Custom signage
Specialty drink ingredients
Pastries or food items
Third-party rentals
Vendor-purchased products
Other non-returnable event materials
Rescheduling
Under most circumstances, we are happy to offer flexible rescheduling when enough notice is provided.
Single-Day Events
For single-day events, we can usually reschedule with at least 72 hours of notice.
Unfortunately, we may not be able to reschedule single-day events with less than 72 hours of notice. In that situation, the full event service amount may still be charged.
Multi-Day Events
For multi-day events, we can usually reschedule with at least 7 days of notice.
Unfortunately, we may not be able to reschedule multi-day events with less than 7 days of notice. In that situation, the full event service amount may still be charged.
Weather, Venue Changes, and Unexpected Circumstances
If weather, venue access, building restrictions, emergency conditions, or other unexpected circumstances affect your event, please contact us as soon as possible.
We will do our best to find a reasonable solution, but refunds, credits, or rescheduling options may depend on timing, staffing, product orders, vendor deadlines, and costs already incurred.
How to Cancel or Reschedule
To request a cancellation or rescheduling, please contact Chicago Coffee Carts in writing with your event details.

Reason for cancellation or rescheduling

Questions About This Policy?
If you have questions about your event, deposit, cancellation window, custom items, or rescheduling options, contact us before making changes to your booking.
You have to cancel your event - bummer! We were excited to serve you and hope we have a chance in the future.
For events canceled 15+ days prior to service, a full refund will be issued.
For events canceled 8-14 days prior to service, we will refund 50% of the deposit amount.
For events canceled 1-7 days prior to service, unfortunately no refund will be given. This bums us out, but for events canceled on late notice like this, we’ve already staffed your event, ordered all your product, and deployed our admin team to finalize all logistics and important details. That being said, this amount can be credited toward a future event!
*Please note, if we’ve already ordered items like custom branding that is non-returnable and non-refundable for us, you will still be charged for those items.
Rescheduling
Under most circumstances, we’re happy to offer flexible rescheduling.
However, due to the deadlines we have with the vendors who provide us with coffee, pastries, custom branding, and other products, we have to maintain the following limits on rescheduling:
For single day events, we will reschedule with as little as 72 hours notice. Unfortunately, we aren’t able to reschedule single day events with less than 72 hours notice and you will be charged for the full event service.
For multi-day events, we will reschedule with as little as 7 day notice. Unfortunately, we aren’t able to reschedule multi-day events with less than 7 days notice and you will be charged for the full event service.
